# Creating Discord Game Events

Learn how to easily create and manage community events in Discord. This guide walks you through each step—from choosing the right event location to selecting the perfect event image, reviewing details, and sharing with the community. Perfect for organizing game nights or special gatherings, this guide ensures your events are engaging and well-prepared without scheduling conflicts.

## Step 1: Creating The Event

The first step is to navigate to the "Events" section in Discord and select "Create Event." A popup will appear with a button labeled "Create Event." Before proceeding, review the existing events to avoid scheduling conflicts. Ensure that your event does not overlap with others in terms of time and date to provide a smooth experience for participants.

## Step 2: Choose Event Location

In this step, you'll choose the location for your event. Select "Voice Channel" as the event type. There are two designated channels you should use: *Game Night Events 1* and *Game Night Events 2*. These channels have integrated bot functions specifically tailored to assist during events. Be sure to avoid selecting other channels to ensure that all event features work seamlessly.

All events should be scheduled in advance to avoid overlap. If two events are scheduled for the same day, they must use separate voice channels to ensure that participants can fully engage in each event without disruption. Please coordinate with staff to set up the appropriate channels if needed.

## Step 3: Create Event Details

This is the stage where you provide essential information about your event, including the topic, date, time, frequency, and description. Make sure the event topic clearly states the game to be played, and it's helpful to add "Community Game Night" to further indicate the nature of the event. When selecting the date and time, choose a time slot that is most convenient for the majority of participants—such as Saturdays at 5:00 PM EST. Keep in mind that the time is based on your local time zone. Do not adjust the event frequency—community game nights should be created manually each week to allow for flexible updates.

All events should be scheduled for **7 days after the event poll has closed**. If a poll closes on a Friday, the event for that poll should be created that same day but scheduled for the following Friday.&#x20;

Examples:

* If a poll closes on **Friday, October 6th**, the event should be created on that day and scheduled for **Friday, October 13th**.
* If a poll closes on **Monday, October 9th**, the event should be created that day and scheduled for **Monday, October 16th**.
* If a poll closes on **Wednesday, October 11th**, the event should be created on that day and scheduled for **Wednesday, October 18th**.

## Step 4: Select Event Image

Now, select an image that represents the game you'll be playing. While the game’s name doesn’t need to appear in the image, it should be clear and recognizable to players of the game. Ensure the image is properly cropped and centered. Game cover images work well as they are usually widely recognized.

## Step 5: Review Event Details

Before finalizing, double-check all event details. Ensure the event topic, date, time, and description are accurate. Confirm that the frequency is set to "Does Not Repeat" and that the selected image represents the game well. This step is crucial for avoiding errors or confusion.

## Step 6: Preview Event

Once all the details are set, click "Next" to view a preview of your event. This preview allows you to check the information one last time. If everything appears correct, you’re ready to move on to the final step.

## Step 7: Finalize & Create Event

Now that your event is ready, click the "Create Event" button. Your event is live and can be viewed by the community. To increase engagement, use the "Share" button. Post about the event in relevant discussion channels or specific game channels, but avoid tagging any roles. Sharing the event is key to building interest and ensuring a strong turnout.

## Event Voice Channels

Event voice channels are locked when no events are active to prevent misuse, such as bypassing voice limits. You can easily identify the status by the lock emoji in the channel name: 🔒 indicates the channel is locked, and 🔓 means it's open. Channels unlock about 10 minutes before an event begins to allow users to join. Only the channel assigned to the event will unlock, and it will automatically relock once the last user leaves after the event ends.
